How it works

One visitor list, shared by residents and the front desk.

Residents see the visitors added for their unit. Staff and management see every visitor in the building, sorted into four tabs: Active, Not Active, Entered and Expired.

  • A resident enters the visitor's name, and can add a phone number, notes for staff and an arrival window.
  • Staff can confirm entry only during the arrival window. Before it the visitor shows as Not Active, and after it as Expired.
  • Each visitor record shows who added the visitor, and who confirmed entry and when.
  • A resident can change or delete a visitor until entry is confirmed. After that, the record is locked.
  • Available on a phone or computer, in English, French, and Simplified and Traditional Chinese.
Who does what

What residents, staff and management can each do.

Residents

Owners, tenants and council members add visitors for their own unit. Owners and tenants also see the visitors others in their unit have added.

Front desk staff

Staff see every visitor in the building, search by name or unit, and confirm entry. The Staff role has no access to billing, access codes or private unit records.

Management

Management sees every visitor in the building and can confirm entry. Management or council switch Visitor Access on in Building Settings.

Examples

From dinner guests to long-term contractors, every type of visitor fits the same simple flow.

Dinner and weekend guests

A resident sets an arrival window for the evening or the weekend. Staff see who is expected and confirm entry when the guest arrives.

Cleaners and caregivers

A resident adds a regular visitor once, with the days and times they come. Staff see them as expected on each of those days and confirm entry for each visit.

Contractors and movers

A resident adds the company or crew lead with the arrival window they were given, from a few hours for a repair to a full day for a renovation. The record shows which resident added them and when staff confirmed entry.
